Travel Management Supervisor (W/M)

Eramet Indonesia is an integral part of the Eramet. Its presence in Indonesia dates back more than 17 years, with nickel exploration investment in Central Halmahera, North Maluku, Indonesia. Eramet has partnered with Tsingshan Group in Weda Bay Nickel (WBN). Responsibilities:

  • Handling formalities for expatriates, including collect the necessary documents for visa applications and work permits, and coordinate with vendor to ensure that formalities are completed within the required timeframe.
  • Ensure formalities are in compliance with local employment regulations.
  • Maintain an up-to-dated database of expatriate formalities.
  • Managing corporate travel arrangements, including booking flights, accommodations, and handling itinerary changes.
  • Liaising with travel vendors, formalities agencies and/or relocations agencies to ensure seamless employee travel and expatriation.
  • Coordinate with relevant team members to stay informed about the employee roster.
  • Enforcing compliance with travel management policies, leave policies, and other related HR policies to maintain efficiency and consistency.
  • Respond to inquiries from employees and managers for information.
  • Processing invoices, monitoring budgets, and coordinating expenses related to travel and formalities.
  • Oversee the maintenance and management of office facilities, equipment, and supplies.
  • Supervise HR administrative tasks.
  • Oversee visitor management processes and ensure excellent customer service standards. Ensure smooth day-to-day operations of the reception and front office areas.
  • Manage and allocate tasks to office assistants for efficient workflow.
  • Ensure proper organization and cleanliness of the office premises.
  • Supervising 3 staffs, including HR officer, Front Office, and Cleaning Agent to maintain alignment and operational efficiency.

 

Qualification:

 

  1. Educational Background: Bachelor’s degree in Business Administration, Human Resources, Hospitality, or a related field is preferred.
  2. Professional Experience: 2 years working experience in travel coordination, formalities management or administrative roles is preferred.Ideally in multicultural settings. Fresh Graduates are welcome to apply.
  3. Excellent verbal and written communication skills in English (additional languages are a plus).
  4. Familiarity with travel formalities, including visa requirements, expatriate documentation, and compliance with local laws and regulations.
  5. Exceptional attention to detail to manage high volumes of documentation with accuracy.
  6. Experience in maintaining organized records for database and audits purposes.
  7. High levels of customer service and responsive.
  8. Capability to remain calm under pressure, especially during urgent requests or emergencies.
  9. Strong interpersonal skills to coordinate with vendors, employees, and external stakeholders.
  10. Assertive to enforce travel management, leave, and HR policies.
  11. Availability to respond to 24/7 standby requirements for last-minute travel or formalities issues.
  12. Familiarity with data privacy regulations (e.g., GDPR) and employment laws related to travel and formalities is a plus.
  13. Experience in processing invoices, monitoring budgets, and coordinating expenses or basic financial acumen to manage budgets and process invoices is a plus.
